Privacy notice

This notice explains our current practice in plain language. It has been written with Malaysia’s Personal Data Protection Act 2010 in mind, but it has not been reviewed by a lawyer and we do not claim to be certified as compliant. If you need a formal assurance, ask us and we will tell you honestly where we stand.

Who we are

What we collect, and why

Parents and guardians
Name, relationship to the student, email, phone number, preferred contact method and language, and optionally an emergency contact. We use these to reply to your enquiry, to arrange classes, and to keep you informed about your child’s attendance and progress.
Students
Name, date of birth, school, level and curriculum, the subjects taken, attendance, lesson records and progress notes. Some families also tell us about learning support needs. We use this to place a student correctly, teach them well, and report progress to their guardian.
Teachers and applicants
Name, contact details, qualifications, experience, availability, any documents you attach, and — for teaching staff — clock-in and clock-out records. We use these to assess applications and to run the timetable and payroll.
Website use
To limit spam on our public forms we store a one-way hash of your IP address and browser string. We cannot recover the original from it. We do not run advertising trackers.

Children’s information

Most of the students we teach are under 18. We collect information about a child only from their parent or guardian, and only what we need in order to teach them. A child’s full name is never published on this website. Where we publish a testimonial, we show a first name or initials and only after the guardian has agreed in writing.

Who can see what

  • Parents see only their own children’s records.
  • Students see only their own timetable, materials and released reports.
  • Teachers see only the students they teach, and only the information needed to teach them. They cannot see other teachers’ records, parents’ contact details or business information.
  • The centre owner can see all records, and administrative actions are logged.

These boundaries are enforced by the database itself, not only by the screens you see.

Where your information is kept

Our records are held in a managed database and file storage service, protected by access controls and encrypted in transit. Some of these services store data outside Malaysia. Files such as resumes and lesson materials are private and reachable only through short-lived links issued after we check the requester is entitled to them.

Sharing

We do not sell your information and we do not share it for marketing. We share it only with the service providers that run our website, database and email, and where the law requires it.

How long we keep it

Enquiries that do not lead to enrolment are kept for up to 24 months, then deleted. Student records are kept while the student studies with us and for a period afterwards so that we can answer questions about past classes. Unsuccessful teacher applications are kept for 12 months unless you ask us to remove them sooner.

Your rights

You can ask us to show you what we hold about you or your child, correct anything wrong, delete information we no longer need, or stop contacting you. Email lee@mindspringtuition.com and we will respond within 21 days. If you are not satisfied you can complain to the Personal Data Protection Commissioner of Malaysia.

Changes

If we change how we handle information we will update this page and change the date at the top. Material changes affecting current families will also be sent to you directly.
